One of the key elements of ensuring the success of a Travel Plan is to ensure that the processes involved are inclusive across the organisation. A way to enable this employee involvement is to set up a Working Group. The number and types of groups will depend upon the nature and size of your organisation.
The role of a Working Group is to:
Involve staff in development of the Travel Plan, providing the opportunity to comment on and feed ideas into the Travel Plan.
Keep staff informed of progress with the Travel Plan.
Who should be involved in a Working Group?
The groups should be made up of employees from a cross-section of departments and represent all grades. They can meet as and when necessary. Experience has shown that attendance at all such meetings is higher when at least some of the time allocated is within normal working hours.
It is a good idea to invite everyone in your organisation to participate in the Working Groups to ensure that all employees feel that they are involved in the Travel Plan's development.
The Travel Plan Co-ordinator or a delegated representative should chair the Working Group. It is helpful to make a note of the meeting to enable reporting to the Steering Group and to be able to use the feedback to inform the development of the Travel Plan.
